Data Entry Clerk (Accounts Payable)

Location: Calgary, Alberta

Description

As a Data Entry Clerk, you will support the finance team by accurately processing invoices, maintaining organized records, and assisting with vendor setup and expense reports. Your work will help ensure timely payments, clean data, and smooth month-end reporting, contributing to the overall efficiency and reliability of our financial operations.

RESPONSIBILITIES

  • Manage the Accounts Payable inbox by saving, filing, and organizing invoices and statements accurately according to established naming conventions.
  • Ensure timely and accurate entry of all received bills into the accounting system.
  • Follow the AP approval process by verifying invoice details, matching to purchase orders and goods receipts, and ensuring proper coding for items such as prepaids and capital expenditures.
  • Maintain a detailed log of pending invoices to support monthly accruals and assist with period-end financial reporting.
  • Manage the setup of new vendors by collecting and documenting required forms and ensuring proper recordkeeping.
  • Reconcile and book monthly employee expense reports in compliance with company policies.
  • Support the AP Supervisor with ad hoc tasks and special projects as needed.

Qualifications

  • High school diploma required; an accounting diploma or certificate is preferred.
  • Minimum of 5 years of experience in accounts payable, with a strong understanding of invoice entry, payment processing, and vendor master data.
  • Professionalism and clear communication skills, both verbal and written, with the ability to build and maintain positive relationships with suppliers and internal teams.
  • Proficient in Microsoft Excel and comfortable using various accounting or ERP systems.
  • Exceptional attention to detail, strong organizational skills, and the ability to manage time effectively in a fast-paced environment.
  • Ability to collaborate with finance team members and management while working independently and meeting tight deadlines.
  • Experience with inventory-related accounting, particularly goods receipt processes, is an asset but not required.
  • A combination of relevant education and experience will be considered.
